Terms and Conditions for the Collab Events
This event is designed to create a positive, respectful, and collaborative environment where photographers, models, and creatives can develop their skills, build their portfolios, and enjoy working together.
All participants are expected to act professionally and follow the guidelines below.
Payment
Payment is required to secure your place and must be completed prior to the event.
Your spot is not confirmed until payment has been received.
Arrival & Timing
Please make every effort to arrive on time.
If you expect to be late, notify the group or event coordinator as soon as possible. Late arrivals can disrupt the schedule and affect other participants.
Professional Conduct & Respect
All participants are expected to treat each other with professionalism, courtesy, and respect at all times.
Everyone comes from different backgrounds and experience levels. Please communicate thoughtfully and remember that what may seem harmless to one person may not be comfortable for another.
Treat others as you would want your own friends or family members to be treated.
Photographer Direction & Conduct
Photographers should communicate clearly and respectfully when directing models.
Provide guidance in a constructive and professional manner.
Avoid comments about a model’s body unless directly related to posing or the image being created.
If you are unsure whether a pose may make someone uncomfortable, ask first.
Models always have the right to decline a pose or idea.
Successful collaboration happens when everyone feels comfortable and respected.
Physical Contact
Photographers must not touch models.
If an adjustment is required:
First ask the model to adjust the item themselves.
If assistance is required, ask someone of the same gender to help.
As a last resort, adjustments may only occur with clear consent and in the presence of a third party.
Photo Delivery
Each photographer agrees to deliver a minimum of five edited high-resolution images from each session.
Images should be delivered within two weeks of the photoshoot.
If circumstances delay delivery, please notify everyone in the group chat. Communication is appreciated.
Image Selection
To ensure fairness and efficiency:
Photographers will select the images they wish to edit and deliver.
Raw files will not be distributed.
Requests for additional edits should be reasonable and discussed privately with the photographer.
Image Rights
Under standard photography practice, copyright of all images remains with the photographer.
Models will receive personal usage rights, allowing them to use the images for:
Social media
Personal websites
Online and printed portfolios
Personal prints
Images may not be sold or used commercially by the model without the photographer’s permission.
All participants will sign the appropriate model release and agreement forms on the day.
Editing of Images by Models
Models may not alter, edit, crop, or apply filters to images without the photographer’s approval.
This helps maintain the photographer’s artistic intent and professional reputation.
Image Use by Photographers
Photographers may use images from the shoot for:
Portfolios
Websites
Social media
Self-promotion and marketing
Commercial licensing outside of personal promotion should be discussed with the model beforehand.
Social Media Credit Policy
When sharing images online, please credit everyone involved where possible.
Photographers should credit:
The model
Makeup artists, stylists, or other creatives involved
Models should credit:
The photographer
Other creatives involved in the shoot
Tagging helps everyone grow their portfolio and visibility.
Clean & Tidy Location
The location must be left in better condition than when we arrived.
All participants are responsible for helping keep the space clean and organised. Event coordinators will perform a final check before leaving.
Safety
Safety is everyone’s responsibility.
Please ensure equipment and setups do not create hazards such as:
Trip hazards
Unstable light stands or props
Blocked walkways
If you notice anything unsafe, speak up immediately and notify a coordinator so it can be addressed.
Agreements & Releases
All participants must sign the model release forms and event agreement before participating in the photoshoot.
